Release periods explained: how many days is too many?
A release period is the number of days before arrival when unsold allotment rooms return to the hotel. A longer release gives the hotel more time to resell rooms. A shorter release gives the tour operator more time to sell. The right number depends on when each partner's guests book.

What is a release period in a hotel contract?
It is the deadline for the tour operator to sell its allotment rooms for a given date. After that, unsold rooms go back to the hotel.
How does a release period work?
Example: with a 14-day release, rooms for an arrival on 1 August return to the hotel on 18 July.
- Before 18 July, the partner can sell them freely.
- After 18 July, the partner can usually book only on request.
What happens when the release is too long?
The tour operator loses late bookings.
- Guests who book close to arrival cannot be sold.
- The partner may ask for lower rates or a smaller allotment.
What happens when the release is too short?
Rooms come back too late to resell.
- Little time to sell them on OTAs or direct.
- In quiet periods, they often stay empty.
What release period is common?
You will often see 7, 14 or 21 days. Many contracts use a different release per season.
How do you choose the right release period?
Use your own data, per partner:
- Booking window: how many days before arrival do their guests book?
- Returned rooms: how many came back unsold, and when?
- Resale: how fast did you sell returned rooms elsewhere?
In peak months, a shorter release is less risky, because late rooms still sell. In shoulder months, a longer release gives you time to use returned rooms. If your OTAs and booking engine sell well, a longer release can work even in peak season: the tour operator sells less last-minute, but you take the rooms back early and sell them yourself on channels with real-time availability and no release at all.
Frequently asked questions
- What happens after the release date?
- The rooms return to the hotel. The partner can usually still send bookings on request.
- Is the release period the same as the cancellation deadline?
- No. Release is about unsold rooms. Cancellation is about bookings already made.
- Does a release period apply to guaranteed rooms?
- Normally no. Guaranteed rooms are paid whether they sell or not.
- Can the release period change by season?
- Yes. Different releases for peak and shoulder months are common.
